AI front desk, receptionist or call centre?

What each one does well, what each one costs you in time, and which fits your business.

These three are often confused. They solve different problems, and the best answer for many businesses is a mix.

A human receptionist

A person at a desk is warm, flexible and good with the unexpected. They can read a mood and handle a difficult conversation. They work set hours, can only take one call at a time and are away sometimes.

A call centre or answering service

A team of people, often shared between many businesses, answering on your behalf. It extends your hours and handles more calls at once. It usually works from a script, and it knows your business less well than your own team does.

An AI front desk

Software that answers calls and messages, finds out what the person needs, and does the routine parts of the job: answering common questions, taking details, booking. It is available at any hour and can speak to many callers at once. It is not the right voice for every conversation, so a good one hands over to a person when it should.

How they compare

  • Hours covered: a person covers their shift. A call centre covers its agreed hours. An AI front desk covers every hour.

  • Busy periods: a person handles one call at a time. An AI front desk can answer several at once.

  • Difficult or emotional calls: people do these best. An AI front desk should recognise them and hand over.

  • Knowing your business: your own team knows it best. An AI front desk knows what you teach it, which is why a clear brief matters.

  • Routine questions and bookings: this is where an AI front desk saves the most time.

How to decide

  • If most calls are routine and you miss many, start with an AI front desk.

  • If most calls are delicate, keep people at the front and use AI to catch overflow and out-of-hours calls.

  • If you already use an answering service, you can keep it for the calls that need a person.

  • Whatever you choose, test it with your own real calls before customers do.

Our view. We do not think AI should replace the people who know your customers. It should take the routine calls, so those people have time for the conversations that matter.
