You do not need a dashboard full of charts. Three numbers, checked once a week, tell you most of what you need.
Number 1. Calls and messages answered
How many came in, and how many got a response. This is the problem you set out to fix. Compare with the week you counted before you started.
Number 2. Jobs finished without a person
Of the calls it answered, how many ended with the job done: a question answered, a booking made, details taken. Ask for the number, and also read a handful of the transcripts to check they were done well.
Number 3. Quality of the hand-overs
When it passed a call to a person, did the person have what they needed? Ask your team. If they often have to start again, the hand-over needs work.
A weekly fifteen-minute review
Read five transcripts: three ordinary, two that did not go well.
Note any wrong or unclear answer.
Fix the cause by changing the instructions or adding the missing answer.
Check the three numbers against last week.
What not to do. Do not judge it by one bad call or one good call. Look at the pattern over a few weeks.
Ask your customers too
A short, friendly question after a call, or a note from your team on what customers say, will tell you things the numbers cannot.
