The real cost of a missed call

Work out what unanswered calls are costing your business, with one simple sum and no guesswork.

A missed call rarely feels like a loss, because you never see the job you did not get. This guide shows you how to put a number on it, in about ten minutes.

Why missed calls cost more than they look

When someone rings and nobody answers, most do not leave a message. They ring the next business on the list. You do not lose a vague chance. You lose a person who was ready to ask for something, today.

The loss is also invisible. There is no empty chair and no complaint. That is why many owners underestimate it.

Work out your own number

You do not need special software. For one normal week, write down every call you could not answer. Then use this sum.

  1. Count the calls you missed in the week.

  2. Estimate how many were real enquiries, not sales calls or wrong numbers. Be honest, and round down.

  3. Estimate what share of those enquiries would normally become a customer.

  4. Multiply by what an average customer is worth to you.

  5. Multiply by 52 to see the year.

A worked example with made-up numbers. 10 missed calls, 6 real enquiries, 1 in 3 would have become a customer, each worth 200 pounds. That is 2 customers, 400 pounds a week, about 20,800 pounds a year. These figures are only an illustration. Use your own.

Where calls go missing

  • Out of hours: evenings, weekends and bank holidays.

  • Busy moments: lunchtime, the Monday rush, the school run.

  • When your team is with another customer or out on a job.

  • When everyone is on a call and the line rings out.

  • Holidays and sickness, when the one person who answers is away.

What an AI front desk changes

An AI front desk answers the call, finds out what the person needs, books or takes details, and hands over to a person when it should. It picks up when you cannot.

It does not fix everything. Complicated or upsetting calls still need a person, and a good set-up hands those over quickly. The aim is that fewer people reach a ringing phone.
